Improving asset visibility to support better maintenance and investment decisions

A global professional services organisation needed a clearer view of its European asset base across 83 sites in seven countries. As part of a first-generation contract, the customer had limited visibility of its assets, their condition and the split between landlord and tenant responsibilities.

The challenge

The customer wanted to improve how it managed assets across its European portfolio. However, with limited asset data available at the start of the contract, it was difficult to understand the full scope, condition and ownership responsibilities across its sites.

This made it harder to create a reliable view of maintenance requirements, replacement needs and future investment priorities. The customer needed a validated asset register, clearer condition insights and a more consistent understanding of landlord and tenant scope across the portfolio.

The solution

ISS deployed a structured asset management approach across the portfolio, including visual inspections, asset verification and condition assessments. This created a validated asset register and gave the customer a more reliable view of its European asset base.

ISS also reviewed existing maintenance practices, assessed replacement costs for primary assets and developed lifecycle insights to support a 10-year capital forecast. The capital investment plan was based on asset condition, criticality and replacement value, helping the customer prioritise future investment in line with its budget cycle.

To make asset identification easier for site teams, validated assets were tagged with QR codes. This gave teams quicker access to asset information and supported a more consistent approach to ongoing asset management.

The outcome

ISS validated 9,001 assets across 83 sites, creating a stronger foundation for asset management across the customer’s European portfolio.  

The project also delivered a 10-year capital investment plan covering 2,114 assets. By linking asset condition, criticality and replacement value, the plan gave the customer a clearer basis for prioritising future investment in line with its budget cycle.  

With improved asset data, condition insights and lifecycle information, the customer now has a clearer view of asset risk, replacement needs and future maintenance priorities.

The value for the customer

The project gave the customer a more accurate and practical view of its European asset base. With validated data in place, the customer can make more informed decisions about maintenance, replacement and capital investment.

The work also provides a foundation for more risk-based asset management, helping the customer prioritise resources where they are needed most.

Looking ahead

Following the European deployment, there is potential to expand the same asset management model into another region, supporting a more consistent approach across a wider part of the customer’s global portfolio.
